Start with a weekly review

Set aside a few minutes at the beginning of each week.

Review your current projects, upcoming commitments, and unfinished tasks.

Write everything down in one place before deciding what deserves your attention.

Choose three meaningful priorities

Not every task has the same importance.

Identify three outcomes that would make the week successful.

These should represent meaningful progress, not simply activities that keep you busy.

For example, completing a client proposal may be more important than reorganizing your entire inbox.

Group similar tasks together

Switching between unrelated activities can make your work feel fragmented.

Try organizing similar tasks into dedicated periods.

You might reserve one block for communication, another for focused project work, and a separate period for administrative responsibilities.

Build a repeatable process

Look for tasks that follow the same steps every time.

A client onboarding process, for example, might include collecting requirements, preparing documents, and scheduling a kickoff meeting.

Turn those steps into a checklist so you don't have to recreate the process for every new client.

Review and improve

At the end of the week, ask yourself:

  • What worked well?

  • Which tasks took longer than expected?

  • What could be simplified next week?

Use the answers to make small adjustments.
